M.P.T: company safety protocol for the prevention of infection

Foreword

This company safety protocol for the prevention of infection makes reference to the “Shared protocol for the regulation of measures to combat and contain the spread of the Covid-19 virus in the workplace” , implemented in accordance with the National Protocol adopted on 24 April 2020 within the social partners in the presence of the Government.

Production activities can only continue under conditions that ensure adequate levels of protection for those working. The epidemic, which has not yet been resolved, has shown us that it can only be contained with prevention and by adopting responsible attitudes. All employees are therefore advised to behave responsibly not only in the workplace, but also at home and in their personal lives.

The aim of this document is to provide all staff with operational guidelines to be followed in order to counter the spread of Covid-19. It is therefore necessary that all parties concerned respect the information and guidelines contained herein, and that the workers themselves, primarily for their own interests (both in terms of their own health and in terms of maintaining their job), insist on compliance with these guidelines, and also inform any external individuals/parties entering M.P.T.’s premises of the need to follow these guidelines.

Everyone can directly or indirectly influence the overall level of well-being through responsible behaviour.

Management is committed to making the necessary protective facilities available and supervising the work environment conditions on a daily basis, but no one can replace each individual’s conscience regarding their own state of health and the importance of behaving responsibly so as not to cause problems to other people’s health.

Information upon entry

No worker may enter the company premises without having read the following information. By entering the company, you certify that you understand its contents, that you adhere to the rules contained therein and that you undertake to comply with the provisions and rules set out herein.

The workers are aware of the following:

  • The obligation to stay at home and not enter the company if you have a high temperature (over 37.3°) or

other flu-like symptoms (conjunctivitis, gastro-intestinal disorders, loss of taste or smell); moreover, if you have come into contact with people who have tested as positive for the virus in the previous 14 days, you must call your GP and the health authority.

  • The commitment to comply with all the rules and guidelines provided for by Authorities and the employer when entering the company (in particular, maintain a safe distance, abide by the rules on hand hygiene and adopt a conduct that is respectful of hygiene)
  • The commitment to promptly and responsibly inform the employer if you become aware of any flu-like symptoms during work, taking care to stay at an adequate distance from those around you.

Entering the company premises, and guidelines for appropriate conduct

All employees are required to take their temperature at home before coming to work. You may be subjected to a body temperature check with the measuring instrument that will be made available to all staff: at the beginning of each shift, staff members will check the temperature of their colleague, and will then proceed to sanitise the measuring instrument. If the resulting temperature exceeds 37.5°, you will not be allowed to enter the workplace. People with this temperature will be dismissed from their workplace and requested to return home.

When arriving at work, you must already be wearing your protective mask, and wash your hands thoroughly with soap and water as soon as you enter the building or use the disinfectant spray placed at the entrance, wear the reusable mask provided, and should you accidentally touch your mouth, nose or eyes, you must wash your hands.

Movement of individuals inside the workplace: all staff must always maintain a distance of at least 2 metres from other people, if this is not possible they must wear a mask, avoid direct contact with other people and wash their hands frequently.

Workshop: Each employee must correctly wear the mask, which they have been provided with, in the work environment.

Miscellaneous: It is forbidden to smoke inside the factory premises: those who wish to do so can do so outside the entrance door, one at a time given that the mask can not be worn whilst smoking: after finishing smoking, they must wash their hands and put on the mask again.

Information for third parties

Outside the company premises, under the bell, there is a sign entitled M.SIC.9 – Access to the premises with instructions for suppliers and visitors:

Given the current health emergency, access to M.P.T. srl can only be granted where necessary and urgent:

  • ring the bell and wait outside the gate
  • all visits from sales representatives and consultants are suspended
  • access to the office is forbidden
  • within the premises, please maintain a distance of at least one metre from others
  • access can only be granted if wearing a protective mask
  • disinfect hands with a suitable gel or use a new pair of gloves or disinfect the pair currently being worn with gel
  • once the vehicle for loading/unloading has been parked, the carrier may get out of the cabin equipped with a mask to deliver the delivery note, open the battens, and then get back into the vehicle and wait for instructions. Once the loading/unloading operations have been completed, the carrier may get out in order to close the doors. Then drive the truck out of the warehouse and out of the main gate
  • Delivery notes will be delivered/received but not signed
  • the use of employee toilets is prohibited
  • If the entry of third parties such as the cleaning company or maintenance staff is necessary, the company rules, such as the obligation to wear a mask at all times and frequently wash hands, must be complied with.

Cleaning and sanitation

The premises are cleaned by an external company on a weekly basis.
Every day and at the end of each shift, all staff must sanitise the surfaces which have the most contact (such as handles, keyboards, tables, etc.) with special disinfectant detergents and disposable paper, thus ensuring that the workplace is sanitised and clean for the next shift.

Personal hygiene precautions

Carrying out personal hygiene correctly is crucial for reducing the spread of the virus. Please remember that the correct, regular washing of hands with soap and water excludes the need to use gloves and gel. Personal work tools such as phones, pens and various work tools should not be used by others. With regard to gauges, keys and trolley equipment (i.e. where it’s not possible to use detergents as they would cause rust), it is recommended to wash your hands frequently and to not touch your eyes, nose and mouth. Please do not misplace personal items, or leave them in places where they shouldn’t be.

PPE

When working in an environment where hands are often greasy with oil, it becomes difficult to lower and lift the mask without contaminating it, so all staff are urged to wear the mask on their face which they have been provided with, for the entire time they are on the company premise.
Given the current emergency situation, in case of supplier difficulties, and for the sole purpose of avoiding the spread of the virus, MPT may use masks whose type corresponds to the guidelines of the health authority.

Where it is not possible to wash your hands with soap and water, disinfectant gel for cleaning hands is available. The company has replaced hand soap with sanitizing products, in line with the current requirements.
Each person has been provided with a bottle of hand sanitizer to be used as needed.

Management of common spaces

The entrance to the company should stay shut, in order to ensure that persons outside the company, or outside personnel, ring the bell if they need to enter.
Canteen(s): in order to avoid gatherings, staff should enter the canteen one at a time, taking care to clean surfaces such as the table, handles, switches and buttons of the microwave or coffee machine, both before and after use. It should be aired out several times a day.

Locker & changing room: given the small number of workers, staff members must enter the locker & changing room one at a time, in order to avoid gatherings: take only the time necessary to change, and once changed, please leave the room. Similarly to the canteen(s), it will be the responsibility of the staff, at the end of use or at each shift change, to sanitize the surfaces which are most commonly touched, such as handles, switches, and bathrooms, and the rooms must be ventilated as much as possible.

Company vehicles: After each use, the company’s vehicles must be cleaned and all parts with which the user comes into contact, such as the grips, steering wheel and gear lever, must be disinfected.

Corporate organisation: (shifts, smart work)

As far as corporate organisation is concerned, it is not considered necessary to review the staff shifts; indeed, with the exception of those working for commercial and administrative purposes, staff cannot work from home in a smart work mode.

Managing the entry and exit of employees

The small number of workers present does not constitute a gathering
Workers have been informed of their duty to maintain a safe distance and use protective equipment.

Internal movements, meetings, events within the Company, and training

All meetings due to take place within the company premise are suspended; only in cases of extreme urgency and where it cannot be delayed, will meetings be held outside in the forecourt of the company in the open air. In any case, maintaining a distance of at least one metre from other people, and wearing a mask, must continue to be followed.
MPT suspends company events which are not directly related to the performance of production activity: in particular, the following have been suspended: meetings of a technical-commercial nature with representatives, consultants, customers and suppliers, and group training activities.

Compulsory training has not been suspended: however, for the time being, it is being delivered in an e-learning mode where possible.

How individuals displaying symptoms shall be dealt with

(a) If anyone develops fever and respiratory symptoms, such as a cough or other flu-like symptoms, whilst on the company site, they must immediately report this to the human resources department: they will be dismissed from their workplace and promptly advised to return home.
(b) The company shall cooperate with the health authorities in defining any ‘close contacts’ of a person working on the company site who has tested positive with the COVID-19 swab. This is to enable the authorities to apply the necessary and appropriate quarantine measures. During the period of the investigation, the company may ask any possible close contacts to leave the factory premises as a precaution, following guidelines provided by the Health Authority.

(c) If a worker has tested positive with the Covid-19 swab, and has to return to work, the Company shall require evidence, through an appropriate certificate, that they are now negative. They will also need to contact M.P.T. to arrange and subsequently undergo a visit verifying their fitness to return to work.

Health surveillance/company doctor/RLS (Workers’ Health and Safety Representative)

The Company Doctor will continue their surveillance activities in line with the specific provisions issued by the Health Authorities. In the case of “susceptible people” (if identified), M.P.T. will follow the instructions given by the company doctor.
